ICE-ARC Programme Assistant Job Advert

The British Antarctic Survey (BAS) is currently looking for a Programme Assistant to manage the day-to-day running of the for ICE-ARC (Ice, Climate, Economics – Arctic Research on Change) Programme.
To be successful in this role, you must have previous secretarial/administrative experience, good attention to detail and excellent organisational skills to support publications and paperwork. Good numerical ability is essential to accurately track budgets and expenses. You must have good interpersonal skills to be able to work in a small team and communicate with a variety of people involved in the project.
This is a fantastic opportunity for an administrator with previous experience to support an exciting and interesting project.

Purpose

To provide administrative duties to assist the ICE-ARC programme and managing the day-to-day running of the ICE-ARC Programme at BAS. This includes financial management, tracking of activities and actions, dissemination of results, and meeting and report preparation.
ICE-ARC is a European Union FP7 funded programme with 21 partner institutions and €12M funding over four years to study climate and economic aspects of sea ice in the Arctic.
It is coming into its final year, so this post is to support processes for managing the project, finances and reporting, as well as increasing dissemination and awareness of the project and its results. The post is funded until February 2018.

Qualification

Maths and English GSCE or equivalent

Duties

– Manage the meetings and paperwork for the ICE-ARC Steering Committee, work package meetings, and Advisory Board, including the production/delivery of minutes and subsequent actions. Provide admin support to the Programme Manager with the meeting content.
– Manage the organisation and paperwork for the ICE-ARC General Assembly meetings and provide admin support to the Programme Manager with the meeting content and its delivery.
– Manage publications: allocate publication numbers to scientists, track progress from submission to publication, log published papers in required databases, and ensure versions are available for open access
– Track and record BAS ICE-ARC expenditure, prepare documentation for external audits, payment of invoices etc., co-ordinate the production of the BAS personnel timesheets. Liaise with BAS finance and corporate services.
– Update ICE-ARC mailing lists held by the Programme Office.
– Provide support for the following:
o Reporting – science, management and deliverables
o Deliverables & milestones
o Document control
o Website, blogs, newsletters, and social media
o Press/publicity
o Distribution of funding to the partners
